Job Description

Job Title: Executive Assistant RQ18-38

TAQA North currently has an opening for the position of Executive Assistant. Reporting to the Vice President, Finance the Executive Assistant provides administrative support to the VP, Finance and the Finance/IT organization and undertakes administrative functions to ensure that the office management is carried out effectively and efficiently.

As a part of this challenging role you will specifically be responsible for:

  • Routine office duties, scheduling and calendar management including correspondence and agendas, records and reports management, and gatekeeping duties (field phone calls, manage requests for meetings, and coordinates various aspects of interdepartmental communication)
  • Financial records management including administration of Financial Authority delegation for the organization and expense report preparation
  • Document control and creation such as memos and company letters
  • Basic accounting functions including G&A forecasting/budgeting for the Finance department, invoice coding for IT, and vacation backup for cash receipts coding
  • Coordinating large-scale corporate and company social events
  • Organization of travel, off-site conferences and business lunch/dinner engagements
  • Back up to company’s other Executive Assistants
  • Taking initiative for additional projects and duties as needed

The Successful Candidate will possess:

  • A minimum of 10+ years of senior level executive administration experience
  • A post-secondary diploma/certification in administration or office management area
  • Proven ability to work with all levels within a global organization and experience liaising with senior stakeholders outside the organization
  • Comfortable working autonomously and supporting multiple teams
  • Experience and demonstrated discretion in dealing with sensitive/confidential information
  • Excellent interpersonal, written, and oral communication skills
  • The ability to multi-task while setting priorities, give attention to detail and time sensitive matters, and work effectively in a group environment
  • Proficiency in Microsoft Office skills, including Word, Excel and Outlook
  • A positive attitude and ability to work with little supervision
  • Excellent time management, organizational, and problem solving skills
